Route 01Inbox triage · 4 weeks · sample case

The inbox was actually four inboxes, none of them talking

The mess

Four shared addresses, three people forwarding to each other, and no rule about who answers what.

The route

Merged into one inbox with folders and filters, wrote the reply templates for the ten most common asks, and set a daily 20-minute triage block.

The outcome

Nothing unread by end of day, and the owner stopped forwarding me things to find. Sample words - replace with a real project when you can.

Route 02Calendar & travel · ongoing · sample case

Two timezones, one calendar, zero double-bookings

The mess

Meetings scattered across two calendars, buffers missing, and travel booked the week of the trip.

The route

One master calendar with buffer rules, a standing weekly preview, and a travel dossier per trip: bookings, addresses, and a one-page schedule.

The outcome

No double-bookings in two months, and the trip folders open on the phone in one tap. Sample words - replace with your own win.

Route 03Document system · 2 weeks · sample case

A folder of \"final final\" files became a library

The mess

Six years of contracts, slips, and scans in Downloads, Desktop, and one mysterious Flash Drive Named FINAL.

The route

A naming rule, a folder tree by year and type, everything scanned and searchable, and a one-page index sheet of what lives where.

The outcome

Any document found in under a minute, and the accountant got a clean folder at tax time. Sample words - write your own.

The sorting line

How every route runs
1

Sort

Everything lands in one place first. Nothing gets answered twice or lost between two tabs.

2

Route

Each item gets an owner and a bucket: you decide it, I handle it, or it waits with a date on it.

3

Deliver

The reply, the booking, the document - done in your voice, with the next step in plain words.

4

Confirm

A short daily note on what moved, and a weekly sweep of anything still sitting in the rack.

One line, every weekday - what moved, what waits, what needs you.

Signed, sealed, delivered

The desk behind the rack

About · keep it true

I like the unglamorous part of the work: the sorting, the naming, the small systems that stop things from slipping. Before freelancing I ran the front desk of a small office, where every delivery, complaint, and appointment came through one desk - and where I learned that a good system is one somebody actually keeps using.

Sample words for this template - replace them with your own story. These days I keep inboxes, calendars, and document piles clean for busy owners across US, UK, and AU hours, in English and Filipino.

No agency, no handoffs to someone you haven't met: the person you talk to is the person doing the sorting.
